ESSENTIAL FUNCTIONS: Working under the direction of the Senior Director of Human Resources, the HR Operations Associate plays a critical role in achieving Common Cause’s mission by handling, maintaining, and improving our internal HR processes and operations. The HR Operations Associate will participate in and support all the things that make HR run and help our team members to succeed. This means working with our HR Information System (HRIS) and Cloud-based HR Confidential Working Group Files to make sure information is accurate and captured in a timely way, our benefits programs run smoothly, we collect information that ensures accountability around our diversity and equity commitments, and that our critical HR records are maintained with confidentiality and accuracy.
RESPONSIBILITIES:
The HR Operations Associate will:
- Use our ADP-based HRIS and our Cloud-based Confidential HR Working Group Files to include legacy hard copy documents, employee personnel files, to input and maintain all human resources personnel information with attention to accuracy, confidentiality, and compliance with all relevant regulations, and those specific to payroll sent to payroll for timely payroll processing and addition of new hires to ADP and Cloud based Confidential HR Working Group File systems.
- Support the benefits enrollment process and maintain all benefits-related infrastructure and files; reconciliation of benefit invoices.
- Support and maintain pay processes including changes, and departures to consistently support accurate, timely, custom payroll schedule and related
- Understand incoming HR inquiries (in collaboration with the Senior Director of Human Resources) to provide needed information and answer questions from team members regarding benefits, payroll, and other HR operations.
- Assist with preparation for external audits.
- Generate specific reports using our ADP-based Reports feature around HR information for organizational use (e.g., in support of grant requests, diversity commitments, board inquiries, etc.).
- Prepare weekly and monthly internal HR reports related to hiring, compensation, promotions, training, departures, and other specific HR activity.
- Maintain vendor files; handle related invoice reconciliation and HR accounts payable.
Ideal candidate will:
- Know how to use and leverage the components of an ADP-based HRIS.
- Know how to use Microsoft Word, Database, Microsoft Excel, Microsoft Teams, Org Plus, Zoom.
- Be effective in meeting deadlines to ensure inquiries are addressed, reports are generated, and critical data is input in a timely way, working with a multi-state structure.
- Be able to handle multiple streams of work and tasks, accurately and effectively.
- Communicate effectively in writing and orally.
- Be able to interact positively and sensitively with a variety of diverse team members.
- Be able to manage sensitive and confidential information, complying with HR and relevant regulatory standards.
- Be able to work effectively with a supervisor by taking direction and offering innovative improvements that make our processes ever better.
- Be organized in handling information, time, processes, and projects.
- Be attentive to detail and accuracy.
QUALIFICATIONS:
Experience, education, and technical proficiency:
- Bachelor’s degree or equivalent work experience.
- Three or more years of work experience in Human Resources, particularly in working with an HRIS, handling data, maintaining confidential information, fielding inquiries, etc.
- Coursework or experience in Human Resources a plus.

SALARY RANGE: $50,000 – $60,000, plus generous benefits package.
